The Position – Office Manager (Temporary for 3 months)
Ampd Energy is growing rapidly and is seeking an energetic temporary Office Manager to support the company’s growth. Your role will be multi-faceted and you will work closely with all the company’s teams to anticipate issues and address them expediently. You will handle multiple tasks and mini-projects simultaneously in a fast-paced entrepreneurial environment.
The position requires a detail oriented, self-starter who has a passion for helping others and a positive, can-do attitude. You will be the first point-of-contact for visitors and interact daily with all team members. We are looking for candidates that embody the company’s drive and enthusiasm.
Ideal candidates are ones who:
- Have prior experience in a secretarial, office management, office administration or customer-facing role;
- Have excellent verbal and written communication skills;
- Anticipate issues before they happen and are proactive in getting problems solved or escalating issues quickly;
- Are interested in using technology to improve communication, coordination and efficiency in an office environment;
- Have a positive, welcoming personality that brings joy to the office.
- Have prior accounting experience (preferable but not vital)
Specific duties may include (as examples):
- Planning how our office and R&D centre should be organised; purchasing furniture, fixtures and fittings to improve the working environment.
- Coordinating with multiple vendors to ensure the office operates smoothly.
- As the first point-of-contact for visitors and customer enquiries, greet visitors and callers in a way that conveys and communicates the company’s spirit; provide general support for visitors.
- Assisting colleagues with administrative matters such as applying for smart cards or parking permits, preparing work related travel arrangements or helping coordinate external meetings.
- Liaise with vendors for our facilities, including cleaning, renovation works contractors and the facility management offices for the company’s landlords.
- Coordinate with the company’s Accounting Manager to ensure expense claims are processed and disbursed accurately and in a timely manner.
