We are looking for a hardworking, detail-oriented and energetic operations officer who is eager to learn and will be responsible for organizing the company’s day-to-day operations.
You will be working closely with our team and will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently.
The tasks of the office administrator will include bookkeeping and mentoring office assistants. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy.
Most important of all, you will be working in an environment where your input, creativity and ideas will be highly valued as we are looking for a future partner, not just an employee.
What You’ll Be Doing:
- Responsible for Human Resources functions including Recruitment, Staffing, Training and Development, Performance monitoring and employee counselling
- Handle all administrative and secretarial support to the Management, Accounting and HR matters: contract; corporate structure, funding/ Invoice / PO / Billing etc. To ensure a smooth running of a professional office and to keep a safe work environment for all employees
- Maintain and update employee records, personnel filing and database administration
- Monitor the progress of training programs and maintain the training record
- Prepare and consolidate different kind of HR reports
- Develop and maintain new company policies
- Coordinate office work and operations to secure efficiency and compliance to company policies
- Support and aid in projects when necessary
- Supervise administrative staff and divide responsibilities to ensure performance
- Manage phone calls and correspondence (e-mail, letters, packages etc.)
- Support budgeting and bookkeeping procedures
- Create and update records and databases with personnel, financial and other data
- Submit timely reports and prepare presentations/proposals as assigned
- Assist colleagues whenever necessary
Requirements:
- Ability to multitask
- Have experience with government related applications or proposals
- Outstanding communication and interpersonal abilities
- Excellent organizational and leadership skills
- Excellent knowledge of MS Office and office management software (ERP etc.)
- BSc/BA in office administration or relevant field is preferred
